Have you ever had one of those mornings where everything feels like it's just too much? The kids can't find their backpacks, the baby is crying, your phone is blowing up with email notifications, and you've got a client meeting in 20 minutes. Then you look at your calendar and see that it's half-filled with last week's unfinished tasks and think, How am I supposed to keep it all together? You're juggling so much, and the weight of it all just feels impossible to carry.
If that sounds like you, let me tell you, you are not alone, and you are not failing. You're just trying to do too much without the right system in place. And today, we're gonna talk about how to create an organization system that works for you. By the end of this episode, you're going to have a clear understanding of how to go from overwhelmed to calm and in control. So, let's dive in.
Welcome to the Inhale, Exhale, Success Podcast, where we help women entrepreneurs create a life they love, feel confident in their body, and build a business without burning out by equipping them with the best tools, strategies, and my proven formula every businesswoman must have. My name is Dee Medina. Let's get started and be successful together.
Hola, hola! Welcome back to another episode. I am so excited about today's topic because I know how transformative it can be when you finally find a system that fits you and your life. It's like flipping a switch—going from feeling scattered and reactive to finally calm and in control. I'm going to share what's worked for me and my clients, and by the end of this episode, you're going to have a whole new perspective on getting organized. I'll even share some of the details of my upcoming course, Time Rich, which is based on the strategies that helped me lose over 100 pounds, build a six-figure business, and be present in the lives of my family, my children, and myself. It also now helps my clients reach their life and business goals. If you're ready to make those changes now, I'm going to tell you how we can work together to create this personalized plan that's tailored for you.
Let me start with a story about one of my clients, right? When she came to me, she was in full-blown survival mode. She told me, "Dee, I've tried everything—the planners, the apps, the checklists—you name it. I'll start strong, but after a week or two, I'm back in the chaos." This particular client was running a business, had three kids, and was trying to keep up with everything. But every night, she'd go to bed feeling like she hadn't accomplished anything that actually mattered.
So, when she signed up to work with me one-on-one, within our first session, I introduced her to the concepts of Time Rich, and she was able to reclaim 10 hours within that first session. Imagine that! After working together for a month, she told me, "Dee, for the first time, I feel like I'm actually in control of my life and my time. I know that everything's not perfect yet, but I'm making so much more progress."
So, you might be saying, Well, what changed? The difference is that we created a system that fit her life and her needs—not some cookie-cutter approach. And that's exactly what I want for you.
Now, I'm going to be real with you. When I was going through my journey of getting my time together, most of the planners, apps, and tools out there just weren't designed for a life like ours, right? They assume you have a predictable schedule, minimal distractions, and the time to actually sit down and color-code your calendar. But as a mompreneur—and especially if you're a single mompreneur—your life doesn't work like that. One minute you're deep into your work, and the next, you're rushing to pick up your kid from school because they forgot their lunch. Or maybe you're trying to focus on a client call, but then your toddler starts tugging at your leg for attention. Life happens, right? Your system needs to adapt to that.
Now that the holiday season is here, a lot of you might be feeling scattered with all the dinners, parties, and responsibilities piling up. Tell me if you're like my client. She loved the idea of using a paper planner. She bought a beautiful one with all the stickers and color-coded pens, but it never left her desk. Why? Because she was always on the go—taking her kids to practice, running errands, working from a coffee shop. A paper planner just wasn’t practical for her lifestyle. When she would message me during our sessions, she felt bad about not keeping up with her calendar or forgetting it.
So, what did we do? We switched her to a digital app—one that synced across all her devices and sent her reminders. Suddenly, things started to click because there was finally a tool that fit her reality.
As I was prepping for this episode, I thought about my clients, and one particular client came to mind. She used to feel like she was juggling a million things every single day. Her mornings started with trying to get through her emails, only to be interrupted by her kids. By the time she got back to work, she’d completely lost focus.
What we did for her was simplify her week by creating themed days. Mondays became her planning and admin day, just like what I do for myself. Tuesdays were for client work. Wednesdays were for marketing, and so on. Instead of constantly switching gears, she had dedicated days and times to focus on specific areas. After just one session, her week instantly felt more manageable.
My clients are real women with real lives, just like yours. The systems we create together aren't overcomplicated or overwhelming—they're simple and doable. One of the ways I like to live my life is with flow.
Flow isn’t about being perfect or checking off every single task on your to-do list. It’s about knowing what needs your attention and when. It’s about aligning your time and energy with what truly matters and what is going to move the needle forward in your life and business. For one of my clients, that looked like starting her mornings with 15 minutes to review her priorities. She would write down her top three tasks for the day and block out time to tackle them. Even on her most chaotic days, she knew her top priorities would be handled.
Another client created flow by breaking her work into morning and afternoon focus blocks so she could spend her evenings fully present with her family. The first week she did this, she told me, "Dee, I used to feel so guilty working late, but now I’m actually able to shut down my laptop at 5 p.m. and enjoy dinners with my kids and my partner." That’s the power of flow—it gives you permission to be fully present and intentional.
I know some of you might be thinking, This all sounds great, but I’ve tried so many things before, and nothing has worked. Or maybe, I should have figured this out by now. Other moms seem to manage just fine. But let me stop you right there. That guilt? It’s a lie. You’re not falling behind—you’re just trying to do too much without a system designed for your life.
The frustration isn’t because you’re bad at this; it’s because you haven’t found the right approach yet. And that perfectionism? Especially for my high-achieving mamas out there? It’s holding you back. You don’t need to do this perfectly—you just need to make progress.
So, what’s the cost of staying in survival mode? How many moments with your family are you missing because you’re too busy or stressed? How many dreams or goals are you putting on hold because you’re stuck in overwhelm?
Imagine waking up each day knowing exactly what to focus on. Picture yourself ending your workday feeling accomplished, not drained. And imagine sitting down with your family at dinner, fully present, without the weight of your to-do list hanging over you.
That’s what being Time Rich is all about. It’s not about getting more done—it’s about creating space for what truly matters to you.
If you’re ready to stop feeling overwhelmed and finally find your flow, here’s how I can help. My course, Time Rich, is coming soon. It’s packed with actionable strategies to help you create systems that actually work for your busy life. It’s designed to give you the tools to create more freedom with less hustle.
